Speaker Information

Register for the conference
As a conference speaker you are eligible for a discounted speaker rate.  Once you have confirmed your participation in the conference you will be sent an email with the speaker promotional code in order to receive the discounted rate. 
*If you are speaking at a session, but not attending the full conference, you must make arrangements to enter the convention centre session rooms with Sharon Fryer, Program Officer, sharonfryer@canwea.ca or (613) 234-8716 ext 239. 

Preparing your presentation
Most presenters choose to prepare PowerPoint presentations, although other media may also be used.  As a general guideline, you should not have more than 15 slides in your presentation.   Please ensure that your presentation is no longer than 15-20 minutes in length depending on the number of speakers in your session. Note that in the interest of time you will be cut off by the Session Chair if your presentation exceeds this time limit.  Simultaneous interpretation will be provided at this year’s conference in all session rooms, therefore speakers may make their presentations in either French or English.  We will ask you to notify us in advance if you plan to make your presentation in French so that we can make appropriate notations in the final program to ensure that delegates pick up headsets in advance of the session should they require them. 

Submitting your presentation
We ask that all presenters upload their presentations by Tuesday October 26th through the CanWEA advance submission site

On arriving at the conference
Upon arrival or at least 24 hours before your session begins, we ask that you visit the Speaker Ready Room (Room 521) where a technician will be on hand to verify that your presentation runs as expected.   
It is imperative that you review your presentation in the Speaker Ready Room if it contains video files, or if it was created on a Macintosh computer.

Speaker Ready Room Hours of Operation:  
          Oct 31  12:00 to 17:00
          Nov 1     7:00 to 17:30
          Nov 2     7:00 to 17:30
          Nov 3     7:00 to 12:30

On the day of your presentation
There will be a speakers’ breakfast from 8:00 am to 9:00 am on the morning of your presentation. You must be there at 8:00 am to meet with your session chair and fellow speakers.

Poster Presenter Information

IMPORTANT:POSTER CONTENT GUIDELINES

Although the detailed layout is left to the discretion of the author(s), posters should not deviate from the accepted abstract. Poster content must be designed to provide broadly-applicable information on relevant business, policy and technical issues. They cannot be intended primarily to sell products or services. A poster will be deemed unacceptable if it:

          • focuses on information that is specific to a company product or service
          • focuses on the benefits of a proprietary product, service or methodology
          • does not provide information that is detailed enough to provide learning for 
            delegates

Author(s) wishing to promote their products and services are asked to take advantage of the numerous sponsorship opportunities provided to participating entities. All posters will be submitted to CanWEA prior to the conference and will be judged by a panel. Only those posters deemed acceptable will be invited to display their posters at the conference. CanWEA reserves the right to reject any submitted poster. This will be done at the sole discretion of CanWEA and will not be subject to appeal by the author(s) of the poster.

Unfortunately we are unable to provide a registration discount for poster presenters. To register for the conference, please visit the registration section of the conference website.

Submit Your Poster for Approval
All posters must be submitted to CanWEA by Friday October 1st for approval.  Posters should be submitted in electronic format (Adobe PDF only) to sharonfryer@canwea.caIf your poster is not submitted for approval or you do not receive approval from the poster session committee you will not be permitted to display your poster at the conference. 

Participating at the Conference
 


Set-up:


The Poster Presenters must put up their posters by 10:00am on Monday November 1st, 2010.  Presenters will be assigned a space to display their poster. The posters will be located in the exhibit hall at the Palais de Congrès. You must bring materials to fasten your poster to the display boards (using pins, tape, Velcro etc.)

Check-in:

All Poster Presenters must check in with the Poster Coordinator in the designated poster area prior to beginning any set-up.

Space  Assignment:    
   

The poster area will be set up with posters grouped by topic.  Each poster space will be assigned by CanWEA. 

Poster Reception:

A poster reception will be held concurrent with the Exhibition Reception, from 5:00 pm to 6:00 pm on Monday, November 1st. This reception will be open to all conference delegates. Poster presenters must be by their posters from 5:30pm to 6:30pm to answer any questions.

Clean-up: 

 

Posters must be dismantled between the hours of 12:30 pm – 1:30 pm on Wednesday, November 3rd.  Any posters still remaining after that time period will be discarded.
